Technology and Online Safety Guidelines (Contracted Tutors)

1. Purpose

These guidelines set out the standards for safe, professional, and secure use of technology when conducting tutoring sessions for Ascent Education. They apply to all online tutoring (e.g. Zoom, Teams, Google Meet) and electronic communication with students and families.

2. Approved Platforms

  • Tutors must only use Ascent Education–approved platforms for online tutoring (e.g. Zoom, Microsoft Teams, Google Meet).

  • Personal social media, messaging apps, or private phone numbers must not be used to communicate with students.

3. Session Conduct

  • Tutors must begin all online sessions on time and maintain a professional virtual presence (appropriate attire, quiet background, good lighting).

  • A neutral or professional background (virtual or physical) must be used — no inappropriate imagery or personal/private environments visible.

  • A parent/guardian should be encouraged to be present or nearby during the session.

4. Recording and Privacy

  • Online sessions must not be recorded unless written consent is provided by the student’s parent/guardian and Ascent Education.

  • Tutors must not screenshot, photograph, or otherwise capture images of students during sessions.

  • All student information must be kept secure and not stored on personal devices outside the scope of tutoring.

5. Communication Protocols

  • Tutors may only communicate with students and families through Ascent Education’s official channels (email, learning platforms, or approved apps).

  • Tutors must never initiate or accept friend requests or follow students on personal social media.

  • Any inappropriate or concerning communication received from a student must be reported immediately under the Internal Reporting Procedure.

6. Cyber Safety Responsibilities

  • Tutors must encourage safe online behaviour and model respectful digital interactions.

  • Tutors must report any online safety risks (cyberbullying, grooming, suspicious behaviour) immediately.

7. Breaches

Failure to follow these guidelines may result in termination of your contract with Ascent Education.
